Guidelines for Community Group Participation

A large part of the mission of the Carmel Farmers Market, Inc. is to provide the community with a festival marketplace where citizens can frequently come together on an informal, neighborly basis. We think that providing this setting is valuable to making the overall fabric of the community strong and vibrant.

As the Market moves successfully into it’s sixth full season, it is apparent that other community organizations have recognized the benefits of the community gathering spot that has evolved in the south parking lot of City Hall on Saturday mornings. We have received a number of requests from other organizations to participate at the Market in order to promote the mission of their organization or to use the Market as a fund raising vehicle.

Because we understand that by helping to strengthen other organizations within the area we can contribute even more to the community’s fabric, it is our intention to cooperate in every way possible with Carmel/Clay civic and service organizations.

Due to the number of requests we receive for participation at the Market, we have developed some guidelines so that all are treated fairly and we do not compromise the mission of the Market. Those guidelines are as follows:

The organization must be based in Carmel. That means the majority of the group’s membership must live in Carmel or Clay Township. In addition, the majority of its meetings must be held in Carmel or Clay Township.

The majority of the organization’s funds must be raised in Carmel or Clay Township.

The majority of the organization’s funds must be used for the benefit of the citizens of Carmel or Clay Township.

Any items sold by civic organizations must have the approval of the Market Committee. Generally speaking, with the exception of beverages, any goods sold at the Market must be grown and produced in Indiana. Craft items and commercially produced products, whether edible or not, are generally not accepted for sale at the Market.

Civic groups may participate at the Market for a maximum of four weeks in any one season, unless a specific exception is made by vote of the Market Committee.

Civic groups must provide all their own equipment.

Civic groups, as a condition of participation in the Market, must sign the Carmel Farmers Market standard vendor contract and abide by all the rules and regulations set forth therein.

Civic groups will not be charged the normal Market stall fee.

The needs of our seasonal and weekly vendors take precedence over the needs of civic group participants at all times. This could result, for example, in a civic group being asked to change locations from one week to the next.

A maximum of three spaces may be made available at the Market at any one time for civic groups to utilize. If the community space(s) are in use by civic organizations, other groups must wait until a space opens up.

This website is dedicated to the memory of Jim Keckley, the first volunteer president of the Carmel Farmers Market committee. He was part of the committee since it started in 1999.  Jim was the best volunteer.  He was the first one to arrive to set up the market at 6:00 AM and usually the last to leave 6 hours later.  He is quoted as saying the committee was "The most fun "I've ever had on any committee, without exception." but it was his gentleness and kindness that helped make the committee so special.
